Advisory/OSA Management

 

  1. Give advice on OSA activities.
  2. Suggest ideas and help in resolving issues if needed.
  3. At times some time sensitive matter may come up and help of advisory committee members may be needed.
  4. Conflict management.
  5. Time commitment for attending a bi-monthly meeting. More time commitment may be needed during conflicting moments.

 

Chapter Relations

 

  1. Plan effective chapter and OSA National relationship
  2. Create documents for chapter creation and management
  3. Create documents for communication strategy

 

Communication/OSAnet

 

  1. Moderate OSAnet

 

  1. Create standards, rules, regulations for OSAnet communications and other cummunications between members and officials, discussion of issues, responding to complaints etc.

 

Community Relations

 

There are conflicts in every Oriya communities. Specifically when more people are involved, more conflicts can arise. The duties of the committee members are to find reasons of various conflicts in Oriya communities, try different strategies to resolve the conflict and document success/failure experiences.

 

  1. Create a mentor network to help new members
  2. Create a support network to respond to emergency social needs
  3. Create a friendship network to listen to worries, problems and suggest ideas

 

Constitution

 

  1. Review constitution
  2. Think forward for 20 years considering growth, technological evolutions and other changes
  3. Project the scenario and effective management needs
  4. Make constitution modifications to cater the needs
  5. Consider the changes from the realistic perspective

 

Convention Management

 

  1. Conventions have become more expensive and people are thinking twice before saying "yes" to take charge of the convention.. What can we do?
  2. Can convention be given to a professional “meeting management” company?
  3. How to make convention organization more rewarding and less stressful?
  4. Produce document considering the above facts.
  5. Help the convention committee

 

Documents

 

  1. Retrieve rare documents relating to OSA history from various sources such as old souvenir issues, talking to past OSA officers, past OSA members etc.
  2. Review old communications on OSA matters in Ornet and retrieve important information and document it to be kept in OSA file because those information may be lost some day.
  3. Create documents for various purposes such as sample GBM report, sample seminar session, sample announcement for award nomination, sample fundraising procedure, managing OSA members
  4. Create documents for communicating with international Oriya groups
  5. Formal policy documents
  6. Review existing documents time to time and suggest changes.

 

Education/Orissa Relations

 

  1. Create activities for educational development, promotion
  2. Helping and advising on effective education curriculum in Orissa basic and higher education system
  3. Adding a voice for educational needs of Orissa
  4. Exchange forums for educational collaboration
  5. Public library set-up
  6. Infrastructure set-up
  7. Fund-raising for the purpose

 

Events/Cultural

 

This would include planning and implementing activities for cultural promotion and propagation. For example:

 

  1. Organizing Oriya open houses in a Mall area, offering Oriya food, providing Oriya entertainment with dance workshops, music workshops, language workshops
  2. Regional Oriya music festival, Oriya dance festival and Oriya drama festival.
  3. Inviting artists from Orissa and engaging them.
  4. Creating quality music to be appreciated by Oriya youth in immigrant countries.

 

Finance/Audit

 

This consists of 2 parts, finance committee and audit committee.

 

Finance committee members would be involved in planning for a better financial health of OSA, fund-raising strategy, better fund management, financial reporting, preparing the budget, communicating the financial status to members by writing report and making presentations.

 

Audit committee members would be responsible for auditing the finance in yearly basis and then for the complete term. Use professionalism although doing the task as a volunteer.

 

Fundraising

 

  1. Responsible for various fund-raising activities
  2. Create the rules and regulations for a particular fund-raising task
  3. Prepare report

 

Historian

 

  1. Retrieve history
  2. Write history
  3. Answer to any questions on OSA history.

 

International Relations

 

  1. Contact international Oriya communities and develop interaction strategy
  2. Meet in Orissa with NROFC representatives
  3. Exchange of ideas, social communication with international Oriya communities
  4. Travel, attending meetings, affiliation rules etc.

 

Legal

 

  1. Provide legal advice on various OSA activities
  2. Check OSA procedures and policies and give advice
  3. Help interpreting OSA rules
  4. Help the society for unpredicted legal challenges by members, non-members
  5. Help the society deal with mental health problems of members that may pose legal challenges for the society.

 

Orissa Development/NROFC

 

  1. Create projects for developmental activities in USA, Canada and Orissa
  2. The developmental activities in USA/Canada include activities such as Archives creation, membership growth and outreach activities
  3. Development activities in Orissa would include grassroot developmental activities and educational development activities. Some examples are creating OSA scholarships in schools, building a school library, building a public library, organizing educational seminars, health seminars, creating income resources, securing funds for disaster relief etc.

 

OSA Outreach/Public Relations

 

The goal is to propagate Oriya language and culture through outreach activities. Product goal is some Oriya learning material in "Mo Patha" style, interesting and appealing Oriya music etc.

 

  1. Create public relation fliers
  2. Create materials for outreach activities such as propagating Oriya language and culture in international events and intercultural events
  3. Facilitating Orissa and OSA cultural exploration, joint ventures in productions
  4. Facilitate reaching out to Oriya communities in other countries and states in India.
  5. Always speak best of the society and defend the society when confronted by opposing voices.

 

 

OSA Standards

 

The task is to create some standards documents.

 

  1. Standard document for announcing a volunteer job in a specific category
  2. Standard document for different OSA policy
  3. Standard document for officer communication, member communication
  4. Standard document for various interactions with Oriya dignitaries, embassy officials, OSA guests etc.
  5. Creating a measuring scale for success.

 

Parliamentarian

 

The parliamentarian should be able to help in handling meetings by following parliamentary procedure. This includes e-meetings as well as BOG meetings and GBM meetings during the convention. The person needs knowledge in parliamentary procedure such as various motions, handling motions, priorities of various motions etc.

 

Planning and Coordination

 

  1. Projecting OSA’s present and future needs and planning OSA management.
  2. Checking OSA status time to time, checking its financial health
  3. Creating scoring system
  4. Scheduling conventions for 10 years in advance and checking the status from time to time
  5. Future growth predictions and needs for the structural change
  6. Constitution check
  7. Creating rules for certain new activities
  8. Modification of current rules
  9. Exploration of ways for OSA’s financial health improvement
  10. Fundraising plan

 

Publication

 

  1. Publish OSA newsletter quarterly
  2. Help in OSA annual souvenir production
  3. Lead in other publications that OSA might take charge of
  4. Always consider in the best interest of the organization and its members and review publication materials accordingly.

 

Security

 

  1. Respond to any security challenges such as legal actions, misinterpretations of the society name and fame
  2. Do the fund-raising for the security fund and manage it
  3. Have the entire security set-up ready to face any unpredicted challenges.

 

Web

 

  1. Create web documents
  2. Update web documents
  3. Design the documents making them attractive and informational
  4. Check for correctness
  5. Set up the timing for all the activity
  6. Appoint web committee members for help if needed
  7. Help in web administration.

 

Women’s Issues

 

The goal of this section would be catering the needs of women in North American countries as well as in Orissa and elsewhere.

 

  1. Helping women that are challenged by social structure in Orissa.
  2. Helping girls from rural areas with scholarships and resources for their education and career opportunity
  3. Keeping in touch with women members of the community during critical moments of depression, abuse and harassment.

 

Youth

 

To involve Oriya youth in positive atmosphere for better interaction and collaboration.

 

  1. Organizing regional and local youth camps in USA as well as in Orissa
  2. Oriya language training
  3. Volunteering in Orissa
  4. Marriage and social relationship
